Job Summary
The PRB Secretariate is a part of the broader ERM function. This is a individual contribution role and the incumbent will be responsible for managing the operations, coordination, and enabling the Policy Review Board (PRB) discharge its duties effectively. This role ensures all Enterprise and business policies are periodically reviewed, updated, archived and aligned with regulatory, contractual, and organizational standards. The incumbent will be part of the secretariat to the PRB — facilitating policy governance workflows, ensuring compliance with review cycles, managing documentation, and providing analytical insights to leadership for decision-making.
Key Responsibilities
1. Policy Governance & Review Management
- Coordinate the end-to-end process for policy creation, review, approval, and archival in alignment with company standards.
- Maintain the central repository of all enterprise and business policies, standards, and procedures.
- Ensure policy updates are tracked and reviewed within mandated timelines.
- Support LOBs and BUCOs in aligning their functional policies with corporate frameworks.
2. Secretariat Functions for the Policy Review Board
- Serve as a member of the secretariat to the Policy Review Board (PRB) — scheduling meetings, preparing agendas, recording minutes, and following up on action items.
- Ensure all PRB submissions meet documentation and quality standards prior to review.
- Track and report PRB decisions, approvals, and escalations to senior leadership.
- Facilitate inter-departmental coordination and communication for policy governance.
3. Compliance, Risk, and Audit Alignment
- Liaise with internal audit, legal, risk, and compliance teams to ensure policies reflect applicable regulations and contractual obligations.
- Support periodic policy audits and ensure audit findings are addressed through the PRB process.
- Monitor emerging risks or regulatory changes that may trigger policy updates.
4. Process Improvement and Reporting
- Develop dashboards, trackers, and reports to monitor PRB performance metrics (policy review timelines, compliance rates, etc.).
- Recommend process improvements to enhance governance efficiency and transparency.
Ensure alignment of policy governance with ISO, CMMI, or other certification frameworks, as relevant to the organization.
