Job Summary

In this role, you will provide operational and administrative support to the Digital Solutions and Technology teams at Prudential Singapore. You will be the go-to coordinator that keeps the team running smoothly — owning the day-to-day administration behind people onboarding, procurement, vendor management, and team coordination.

As part of this dynamic role, you will work closely with team leads, HR, Procurement, Finance, and vendors to ensure new joiners, contractors, and suppliers are onboarded quickly and correctly, and that administrative processes such as Coupa requests, access provisioning, and onboarding planning are executed accurately and on time.

Key Responsibilities

Job Description:

  • Coordinate end-to-end onboarding for new joiners and contractors, including access requests, equipment, system provisioning, and induction scheduling.
  • Plan and track onboarding activities, maintaining checklists, timelines, and status so nothing is missed and joiners are productive from day one.
  • Raise, track, and follow up on Coupa requests — supplier/vendor onboarding (SIM forms), purchase requisitions, purchase orders, and invoice approvals.
  • Support vendor and supplier onboarding, coordinating documentation, due diligence, and follow-ups with Procurement, Finance, and third parties.
  • Maintain team trackers, distribution lists, org charts, access records, and shared documentation so information stays accurate and up to date.
  • Coordinate meetings, workshops, and team events, including scheduling, logistics, agendas, minutes, and action follow-ups.
  • Support recruitment administration such as interview scheduling, candidate coordination, and liaison with HR and hiring managers.
  • Assist with tracking of mandatory training, compliance tasks, licences, and periodic governance activities across the team.
  • Prepare and format simple reports, presentations, and updates to support team leads and management.
  • Identify and drive small improvements to administrative and onboarding processes to save time and improve accuracy.

 

Skill Requirements

Who we are looking for:

  • Strong organisational and coordination skills, with the ability to manage multiple tasks, priorities, and stakeholders at once.
  • Experience providing administrative or operational support within a technology, digital, or corporate function.
  • Hands-on experience with procurement or onboarding systems such as Coupa (raising forms, POs, and supplier onboarding) is an advantage.
  • Good attention to detail and follow-through, ensuring tasks are completed accurately and on time.
  • Comfortable working with HR, Procurement, Finance, vendors, and technology teams to get things done.
  • Proficient in Microsoft 365 tools — Outlook, Teams, Word, Excel, and PowerPoint.
  • Proactive, dependable, and able to work with minimal supervision and some ambiguity.
  • Strong written and verbal communication and a service-oriented mindset.
  • Insurance or financial services experience is an advantage.

Working Experience:

  • At least 3 years of experience in administrative, operations, coordination, or team support roles.
  • Experience supporting onboarding, procurement, or vendor administration is preferred.

Education:

  • Diploma or Bachelor in Business Administration, Business Operations, or equivalent.

Language:

  • Fluent written and spoken English.
