Job Summary

The Senior Project Coordinator supports the planning, coordination, execution, and monitoring of strategic, quality, regulatory, compliance, remediation, and continuous improvement initiatives across the Quality organization. Working under the direction of the Senior Manager, Strategy & Improvement, this role provides project management support for multiple concurrent programs and projects by coordinating meetings, maintaining schedules, tracking deliverables, managing action items, developing reports and presentations, and facilitating communication among stakeholders. The Senior Project Coordinator serves as a central point of coordination across Quality, Regulatory, Operations, Manufacturing, R&D, IT, and other business functions to ensure projects remain organized, visible, and aligned with established objectives. This position is responsible for maintaining project documentation, monitoring risks and dependencies, supporting governance activities, and providing accurate project status reporting to leadership. The role requires a strong combination of project coordination, analytical, and creative communication skills, including the ability to develop impactful executive presentations, dashboards, reports, and visual communications that effectively translate complex project, quality, and business information into actionable insights for leadership teams. The successful candidate must be capable of transforming large amounts of data, project updates, risks, metrics, and strategic information into concise, visually appealing, and easy-to-understand presentations that support decision-making, stakeholder engagement, and organizational alignment.

Key Responsibilities

  • Support the Senior Manager, Strategy & Improvement in the coordination and administration of multiple Quality-related projects, programs, and continuous improvement initiatives.
  • Maintain project schedules, timelines, milestones, deliverables, and resource tracking tools to support effective project execution.
  • Coordinate project meetings, develop agendas, document meeting minutes, and track action items through completion.
  • Monitor project progress and proactively follow up with stakeholders on deliverables, dependencies, decisions, risks, and open items.
  • Develop and maintain project dashboards, KPI reports, status updates, executive presentations, and leadership communications.
  • Assist with project planning activities, including timeline development, resource coordination, milestone tracking, and implementation planning.
  • Organize and maintain project documentation, governance materials, meeting records, training materials, and project repositories.
  • Support quality system transformation initiatives, remediation activities, regulatory commitments, inspection readiness efforts, system implementations, and process improvement programs.
  • Coordinate cross-functional communications to ensure project participants are informed of priorities, timelines, risks, and decisions.
  • Assist in identifying project risks, schedule variances, resource constraints, and escalation needs and communicate concerns to project leadership.
  • Support governance forums by preparing materials, coordinating attendees, documenting decisions, and tracking follow-up activities.
  • Collect, consolidate, and analyze project data to support management reporting and decision-making.
  • Help standardize project management practices, templates, reporting mechanisms, and tracking tools across the Quality organization.
  • Develop professional, executive-level presentations, dashboards, infographics, and communication materials that effectively communicate complex project, quality, and business information in a concise, visually compelling, and easy-to-understand format.
  • Partner with project teams and leadership stakeholders to transform technical information, project updates, metrics, risks, and recommendations into impactful presentations tailored to executive, steering committee, and leadership audiences.
  • Apply creative thinking and visual storytelling techniques to improve engagement, decision-making, and communication effectiveness across project and organizational initiatives.
  • Support preparation of leadership reviews, steering committee meetings, regulatory updates, project status reviews, town halls, and strategic planning sessions by creating presentation materials that clearly convey key messages, actions, and outcomes.
  • Continuously improve reporting formats, presentation standards, visual management tools, and communication methods to enhance organizational visibility and transparency.

Perform additional project coordination and administrative activities as assigned by the Senior Manager, Strategy & Improvement.

Skill Requirements

  • Strong project coordination and organizational skills with the ability to manage multiple initiatives simultaneously.
  • Excellent attention to detail and ability to maintain accurate project documentation, schedules, and records.
  • Strong verbal and written communication skills with the ability to interact effectively across all levels of the organization.
  • Proficiency in Microsoft PowerPoint, Excel, Word, Teams, SharePoint, and other project tracking and reporting tools.
  • Strong presentation development and visual communication skills with the ability to transform complex data, project information, and technical content into executive-ready materials.
  • Demonstrated creativity and ability to develop visually engaging presentations, infographics, dashboards, process flows, timelines, and leadership communications that simplify complex information and drive understanding.
  • Advanced PowerPoint skills, including slide design, executive storytelling, visual hierarchy, formatting standards, dashboard creation, and data visualization techniques.

Other Requirements

  • Bachelor's degree in Business Administration, Project Management, Engineering, Quality, Life Sciences, Information Systems, Communications, or a related field required.
  • Typically 3–5 years of experience supporting projects, programs, business operations, quality systems, process improvement initiatives, or related business functions.
  • Experience coordinating cross-functional teams, schedules, meetings, action items, and project deliverables.
  • Experience developing project status reports, dashboards, presentations, executive summaries, and leadership communications.
  • Demonstrated ability to create visually compelling presentations and communicate complex information effectively to diverse audiences.
  • Experience working within a regulated industry such as medical device, pharmaceutical, healthcare, manufacturing, or a similarly regulated environment preferred.
  • Familiarity with project management methodologies, governance processes, portfolio management, and continuous improvement principles preferred.
  • Experience using Microsoft Office applications, collaboration tools, and project management software.

CAPM, PMP, Lean Six Sigma, Agile, or related certifications are desirable but not required.

Minimum Salary (US):  95000

Compensation and Benefits

A candidate’s pay within the range will depend on their skills, experience, education, and other factors permitted by law. This role may also be eligible for performance-based bonuses subject to company policies. In addition, this role is eligible for the following benefits subject to company policies: medical, dental, vision, pharmacy, life, accidental death & dismemberment, and disability insurance; employee assistance program; 401(k) retirement plan; 10 days of paid time off per year (some positions are eligible for need-based leave with no designated number of leave days per year); and 10 paid holidays per year.
